IN THIS GUIDE
1. Clarify what you need the certificate for
Start with the exact task: which filing, tender, application or business process requires a digital signature? Note the portal and the role in which you will sign. Ask the relevant portal or professional to confirm the current requirement before you buy anything.
Do not assume that a certificate chosen for someone else is right for your use. Make a short enquiry that states the purpose and the deadline you are working towards, without attaching identity documents to an unverified channel.
Begin with the application or filing that requires a digital signature rather than ordering a certificate based only on its name. Note which portal or system is involved, who will sign, whether the applicant is an individual or acting for an organisation, and any information that the receiving service has provided about acceptable certificates. A certificate suitable for one workflow may not be the correct assumption for every other workflow. Ask about the current procedure and costs before sharing documents. If somebody is assisting you, agree in advance who is responsible for submitting information, retaining the certificate and following up on any verification request.
2. Understand who issues the certificate
The Controller of Certifying Authorities explains that applicants can approach a licensed Certifying Authority for a Digital Signature Certificate. The CCA’s list is a useful place to check the issuing authority. Assistance with an application is not the same as being the issuer.
Ask any intermediary to identify the issuing authority, what assistance is included, the proposed certificate details, the charges and the support arrangements. Keep the written description with your application records.
The certificate is associated with an identity and a signing process, so the issuing route deserves special attention. Confirm the relevant issuer or authorised service channel independently and read the current application instructions. If a third party offers to handle everything, understand which actions must still be performed by the applicant. Do not assume that a forwarded message or unofficial payment page is a reliable verification channel. Ask how long the issued certificate is intended to remain valid and how replacement or renewal questions should be handled. Where an organisation is involved, clarify the authorisation of the person who will sign its documents before proceeding.
3. Prepare information through the approved process
Request the current checklist directly from the issuing authority or its approved application channel. Confirm how identity or organisational information will be checked and what is needed for the role in which you are applying.
Check names and other details carefully before submitting. Avoid reusing an old internet checklist without confirming it against the intended portal and the current application process. This article deliberately does not present one universal document list.
Prepare the basic applicant and organisation information in a secure working file, then match each requested item to the current official checklist. Some cases may call for verification steps that depend on the applicant type, the provider and the product requested. Do not send PAN images, identity scans or business credentials through a general contact form unless the channel is explicitly approved for such information. Keep copies of payment confirmation and the application reference where applicable. If a name, email or other detail is wrong, resolve it through the authorised process rather than using an improvised shortcut. Accuracy at application stage can prevent repeated submissions later.
4. Keep control of the signing key
A digital signature depends on a private key. The CCA warns that insecure handling of that key can allow misuse without the owner’s knowledge. Ask how your key will be created, stored and used, and how to report suspected compromise.
Do not share an OTP, account password or signing credential through a general enquiry form or chat message. Where a token or other device is involved, ask the issuer for safe setup and use instructions. Keep a record of expiry and support contact details.
A private signing key needs to remain under the control of its rightful user, with suitable protection for the device or token involved. Never disclose PINs, passwords or one-time codes to someone claiming they need them to “activate” your certificate. If a key, device or account may have been compromised, seek current guidance from the issuer or authorised provider about the next action. Note who is responsible for renewals and when the certificate is expected to expire. For a Dhanbad service enquiry, visit Finnova’s DSC section. If the enquiry is part of a new venture, also review company registration assistance.
